Events and Attendance

Use Events to schedule Training, Games and other activities for a Team. Use Attendance to collect each Player's response.

Create an Event

Who can do this?

Coaches, Managers, Directors and Custodians with Event management access.

Before you start

You need a Team, a date and time, a Venue, a duration and an Event type. You can optionally attach an approved Plan. Tracking must be enabled in the Club for Attendance controls to appear.

How to do it

  1. Open Events.
  2. Select Create Event.
  3. Enter the Event title and start date.
  4. Select or create a Venue.
  5. Choose the Event Type.
  6. Select the Team.
  7. Enter the duration in minutes.
  8. Select an approved Plan if the Event uses one.
  9. Enable Tracking when you need Attendance or Game tracking.
  10. Enable Share Plan where the Event should share the selected Plan.
  11. Save the Event.
  12. The Event appears in the Events list and becomes visible to eligible Team users. If Tracking is enabled, you can manage Attendance. A Game Event can be opened in Game Tracker.

Choose Training, Game or Event

Who can do this?

Users creating or editing an Event.

How to do it

Choose the type that best describes the activity:

  1. Training: A training session.
  2. Game: A match that may use Game Tracker.
  3. Event: Another scheduled Club activity.
  4. The selected type controls the information ClubSort uses for the Event and whether the Game Tracker workflow is appropriate.

For a Game, ClubSort can use the Team's match format to suggest a duration. For a Training Event with a Plan, the Plan's activity durations can inform the duration.

Attach a session Plan to an Event

Who can do this?

Users who can create Events and can see the approved Plan.

Before you start

The Plan must be approved and visible to your active Profile. Coaches normally select their own approved Plans; Managers select approved Plans available through their Teams.

How to do it

  1. Start Create an Event.
  2. Select the Team and Event type.
  3. Open Select Plan.
  4. Choose the approved Plan.
  5. Check the duration and sharing setting.
  6. Save the Event.
  7. The Event is linked to the Plan. The Plan can be opened from the Event and can help the team prepare for the session.

Share an Event with the Team

Who can do this?

Users who can manage the Event.

How to do it

  1. Create or edit the Event.
  2. Select the Team.
  3. Enable the sharing option available on the Event form.
  4. Save the Event.
  5. Eligible users in the Team can see the Event according to their active Profile and Team access. Sharing is not the same as public access; ClubSort does not establish a public Event audience in this guide.

Record and update Attendance

Who can do this?

Coaches, Managers, Directors and Custodians with access to the Event. Players can respond to their own Attendance request.

Before you start

Create an Event with Tracking enabled and a Team with Players.

How to do it

  1. Open the Event.
  2. Open the Attendance area.
  3. Review each Player's state.
  4. Update a Player's Attendance where you have permission.
  5. Save any comment or change.
  6. Attendance helps staff prepare the session and Game squad. Recorded Attendance can also contribute to Player and Team insights.

Respond to an Attendance request as a Player

Who can do this?

Players responding for their own Profile.

Before you start

You need access to the Event and an Attendance request in Pending state.

How to do it

  1. Open the Event from ClubSort or the Attendance link you received.
  2. Review the date, time, Venue and Team.
  3. Choose Attending or Not Attending.
  4. Add a comment if the Event provides that option.
  5. Save your response.
  6. Your response changes from Pending to Attending or Not Attending. Staff can use the response when preparing the Event or Game.

Assign Event tasks and post activity

Who can do this?

Users with Event access, subject to the available Event controls and permissions.

How to do it

  1. Open the Event.
  2. In the Event tasks area, create a task.
  3. Assign it to the relevant Player or Team Membership.
  4. Add any required details and save.
  5. Use the Event activity area to post a message where available.
  6. The assigned person can see the task in the Event context. Activity messages remain associated with the Event.

Edit or cancel an Event

Who can do this?

Users with Event management access.

How to do it

  1. Open Events.
  2. Select the Event action menu.
  3. Choose Edit to change available details, or Delete to remove it.
  4. Confirm the action.
  5. An edited Event keeps its Team and eligible-user relationships. A deleted Event is no longer available as an upcoming Event.
